Nedenfor kan du læse mere om Aarhus Kommunes behandling af dit barns personoplysninger i forbindelse med at ForeningsMentor hjælper dit barn i gang med en fritidsaktivitet. 

Hvad er formålet med og reglerne for behandlingen af personoplysningerne?

Vi behandler personoplysningerne til følgende formål:

Vi indsamler oplysninger om dig og barnet for at kunne hjælpe barnet i gang med en fritidsaktivitet. 

Oplysningerne benyttes også til at støtte op om udarbejdelse af statistikker til understøttelse af arbejdet med: byrådsforespørgsler, udvikling af kommunes tilbud, evaluering og forbedring af vores indsatsstrategier. Der offentliggøres ikke resultater, hvor det enkelte individ kan identificeres. 

Reglerne for vores behandling af personoplysningerne følger af nedenstående lovgivning. 

Databeskyttelsesforordningens artikel 6, stk. 1, litra e idet behandlingen er nødvendig af hensyn til offentlig myndighedsudøvelse. 

Hvilke kategorier af personoplysninger behandler Aarhus Kommune?

Almindelige personoplysninger: 

• Oplysninger om barnet: navn, fødselsdato, køn, skole, klassetrin.

• Oplysninger om dig som forældre: navn, telefonnummer, adresse, e-mail, ønsker til aktivitet, tilhørsområde.

• Oplysninger om dig som fagperson: navn, telefonnummer, mail, arbejdssted. 

Hvem modtager personoplysningerne?

Aarhus Kommune videregiver eller overlader personoplysningerne til følgende modtagere:

Aarhus Kommunes databehandlere (leverandør), der behandler personoplysninger sikkert på vegne af ForeningsMentor på baggrund af instruks i en lovpligtig databehandleraftale.

I Aarhus Kommune udveksler vi personoplysninger om barnet mellem magistratsafdelingerne, når udveksling af personoplysningerne er nødvendig for de opgaver, som Aarhus Kommune varetager i forbindelse med ForeningsMentor. 

Derudover deler vi barnets navn, fødselsdato, køn, skole, klassetrin samt forældrenes navn, telefonnummer, adresse og e-mail med den forening dit barn bliver tilmeldt. I særlige tilfælde, kan det også blive aktuelt med skole og klassetrin. 

Hvor stammer personoplysningerne fra?

Det er dig som forældre eller fagpersonen der giver os personoplysningerne.

Som fagperson skal du have indhentet samtykke hos forældrene til at må give os oplysningerne. 

Opbevaring af personoplysningerne:

Oplysningerne slettes efter 2 år. Sletningen sker når vi har haft mulighed for at følge op på om vores indsats har hjulpet barnet i gang med en fritidsaktivitet. 

Dine rettigheder

Du har efter databeskyttelsesforordningen en række rettigheder i forhold til vores behandling af personoplysningerne. 

• Du har ret til at anmode om indsigt i oplysningerne vi har om dig. Du har også ret til at anmode om berigtigelse eller sletning af oplysninger, og du kan også bede om en begrænsning af behandlingen af oplysningerne. Du skal dog være opmærksom på, at kommunen typisk er forpligtet til at gemme de oplysninger vi har noteret om dig, indtil den ovennævnte slettefrist indtræder. 

• Det samtykke du har givet til behandlingen kan til en hver tid trækkes tilbage, dog uden at ændrer på lovligheden af den behandling der allerede måtte være foretaget. 

• Hvis du vil gøre brug af dine rettigheder eller har spørgsmål, skal du kontakte ForeningsMentor via foreningsmentor@mkb.aarhus.dk.

Below you can read more about how Aarhus Kommune processes your child’s personal data in connection with ForeningsMentor helping your child get started with a leisure activity.

What is the purpose of and the legal basis for processing the personal data?

We process personal data for the following purposes:

We collect information about you and your child to help the child get started with a leisure activity.

The information is also used to support the preparation of statistics to assist work related to: city council inquiries, development of municipal services, evaluation, and improvement of our intervention strategies. Results are not published in a way that allows identification of individual people.

The rules governing our processing of personal data follow the legislation below:

Article 6(1)(e) of the General Data Protection Regulation (GDPR), as the processing is necessary for the performance of a task carried out in the exercise of official authority.

What categories of personal data does the Municipality of Aarhus process?

General personal data:

• Information about the child: name, date of birth, gender, school, grade level

• Information about you as a parent: name,phone number, address, email, preferred activity, local area 

• Information about you as a professional: name, phone number, email, workplace. 

Who receives the personal data?

Aarhus Kommune discloses or transfers personal data to the following recipients:

Data processors (suppliers) working for Aarhus Kommune who securely process personal data on behalf of ForeningsMentor based on instructions in a legally required data processing agreement.

Within Aarhus Kommune, we exchange personal data about the child between departments when this exchange is necessary for the tasks carried out by the municipality in connection with ForeningsMentor.

Additionally, we share the child’s name, date of birth, gender, school, and grade level, as well as the parents’ name, phone number, address, and email with the association (club or organisation) that your child is registered with. In special cases, information about the school and grade level may also be relevant.

Where does the personal data come from?

The personal data is provided by you as a parent or by the professional.

If you are a professional, you must obtain consent from the parents before providing us with the information.

Storage of personal data

The information is deleted after 2 years. Deletion takes place once we have had the opportunity to follow up on whether our efforts have helped the child get started with a leisure activity.

Your rights

Under the General Data Protection Regulation, you have several rights regarding our processing of personal data:

• You have the right to request access to the information we hold about you. You also have the right to request correction or deletion of information, and you may request restriction of the processing of your data. However, please note that the municipality is typically required to retain the information we have recorded about you until the above-mentioned deletion deadline has passed.

• Any consent you have given for the processing can be withdrawn at any time, without affecting the lawfulness of processing carried out before the consent was withdrawn.
